Stock tracking in BizFlare isn't a separate module you have to reconcile against your invoices — it's the same system. Every invoice line for a physical product deducts from stock the moment it's sent, and every goods receipt against a purchase order adds it back, so the number on screen is always what's actually on the shelf, not what it was at last week's manual count.
There's no end-of-day sync, no nightly batch job, and no "refresh to update" button. The moment an invoice is created for a product with stock tracking enabled, the quantity on hand drops immediately. The moment a goods received note is recorded against a purchase order, it goes back up. If you're checking stock while a sale is happening elsewhere in the business, what you see is current.
If you sell a bundle made up of individual components — a "starter kit" built from several products you also sell separately — BizFlare deducts each component's stock automatically when the bundle is invoiced, based on the bill of materials you set up once per bundle.
Set a reorder point per product — the stock level at which you'd want to order more before you run out entirely. Once stock drops to or below that point, the product is flagged on your dashboard and stock reports, so restocking decisions happen before a shortage, not after a customer asks why something's unavailable. Track stock at the variant level, not just the product level. A shirt in three sizes and two colours is six trackable stock lines, each with its own SKU, quantity on hand and reorder point — so you know exactly which variant is running low, not just that "shirts" in general need attention.
Run a physical stock take and record the actual counted quantity against what the system expects — any variance is logged so you can see exactly where shrinkage or counting errors are happening, product by product. Stock valuation reports show the dollar value of everything on hand at cost price, plus margin analysis comparing cost against sell price across your whole catalogue.
Every change to a product's stock level — a sale, a goods receipt, a stock take adjustment, a manual correction — is logged with what changed, when, and what triggered it. If a number ever looks wrong, you can trace exactly how it got there instead of guessing.
